Overview

Contributor Tracking lets your team see who has worked on each visit. Every time a team member interacts with a visit — recording, editing notes, updating patient details, and more — they are automatically added as a contributor. You can also add or remove contributors manually from the visit overview.

When you are a contributor in a visit, the visit will now show when you filter the visits and case board to yourself, even if you are not the owner of the visit.

This feature is available to all teams and appears in the Visit Overview panel.


How It Works

Automatic Tracking

When any team member performs an action on a visit, they are automatically listed as a contributor. Actions that trigger automatic tracking include:

  • Recording — moving or managing recordings within a visit

  • Notes — saving or editing medical notes

  • Recaps — saving visit recaps

  • Discharges — updating discharge instructions

  • Visit details — changing the visit name, date, pet information, owner, summary, or patient list

No setup is required. As soon as a team member touches a visit, their name appears in the Contributors section.

Manual Management

In addition to automatic tracking, you can manually add or remove contributors:

  1. Open the visit and locate the Contributors section in the Visit Overview panel (identified by the group icon in blue).

  2. Click Edit to enter editing mode.

  3. To add a contributor: Use the search box labeled "Add team member..." to find and select a team member from your organization.

  4. To remove a contributor: Click the X button next to a contributor's name badge.

  5. Click Done when finished.

Note: The visit owner is always associated with the visit and is not shown in the Contributors list. Contributors cannot be modified on read-only visits.


Where Contributors Appear

Contributors are displayed in the Visit Overview panel as blue badges, each showing the team member's name. If no one besides the owner has interacted with the visit yet, the section displays "No contributors yet."


Who Can Use This Feature

  • Contributor Tracking is available to all users within an organization.

  • Any team member who is part of the organization can be added as a contributor.

  • Both the web app and extension display contributor information through the Visit Overview.


Frequently Asked Questions

Q: Do I need to turn on Contributor Tracking?
No. It is enabled automatically for all organization visits. Contributors are tracked as soon as team members interact with a visit.

Q: Will the visit owner appear in the Contributors list?
No. The owner is already displayed separately in the visit details. The Contributors section only shows additional team members who have interacted with or been added to the visit.

Q: Can I add contributors to a read-only visit?
No. Once a visit is marked as read-only, the contributor list is locked and cannot be modified.

Q: What if the same person performs multiple actions — will they appear twice?
No. Each contributor appears only once regardless of how many actions they perform on the visit.

Q: Can I add contributors in bulk across multiple visits?
Yes. The bulk add and remove actions support up to 100 visits at a time, enabling efficient team assignment workflows.
