Getting Started with the Board
The Case Board is organized into four primary columns designed to track the natural progression of a veterinary visit:
Not Started: Patients who have checked in or arrived but haven't been seen yet.
In Progress: Patients currently undergoing examination or active work-ups.
Hospitalized: Patients staying for extended or overnight care.
Completed: Recently discharged patients with finished notes.
Pro Tip: You can move patients between statuses simply by clicking and dragging a card from one column to another.
Global Controls and Filtering
Located at the top of the board, the header contains tools to help you find exactly what you need and keep your board up to date.
Quick Actions
Search: Use the live text input to instantly filter the board by Patient Name.
Create Visit: Manually open a blank case card for walk-ins or emergency triage.
Import from PIMS: Click this to fetch today’s scheduled appointments from your practice management system. VetRec automatically de-duplicates records, so you never have to worry about double-entry.
Customizing Your View
Provider Filter: Filter the board to see only your assigned cases or view the entire clinic’s workload.
Time Frame Logic: Each column has its own time-based rule (e.g., "In Progress" shows cases modified in the last 24 hours). You can adjust these windows to fit your clinic's specific pace.
Sorting: Organize cards alphabetically or by age (Oldest vs. Newest).
Pro Tip: You can customize each column to a different timeframe. For example, you can have Not Started show the last 48 hours of visits and then have Hospitalized show 30 days.
Case Cards
Cards are designed to give you the most important clinical context at a glance:
Patient Name: Boldly displayed at the top.
Signalment Line: Displays Species, Breed, Age, and Sex/Repro status (e.g., Canine • Golden Retriever • 4y • Female Spayed).
Status Badge: Optional color-coding for quick visual identification.
The Side Panel Workspace
Clicking on any card opens the Side Panel—a slide-out drawer that lets you work on a case without losing your place on the board.
1. Case Details & Navigation
From the panel, you can reassign the Visit Owner, update the Reason for Visit, or click "Open Full Profile" to launch the complete patient record in a new browser tab.
2. Audio & Scribing (Core Workflow)
This is where the magic happens. You can capture clinical data in real-time. Click "Quick Recording" to capture audio clips during rounds, history taking, or physical exams.
3. Generating Your Note
When you’re ready to finalize your documentation, click Generate Note. You will be prompted to:
Create New Note: Generate a fresh SOAP or Summary.
Add to Existing: Append the new AI-generated findings to your current active note.
Once generated, VetRec will automatically open the Full Visit Profile in a new tab, landing you directly in the editor with your text populated and ready for review.
