Locking visit

This article describes what happens when you lock or unlock a visit, where to find the controls, and who can perform each action.

What it does

When a visit is locked, the entire visit becomes read-only. No one can change visit details, add or remove staff, add or edit notes, upload or delete recordings, or make other edits to the visit until it is unlocked.

  • A locked visit banner appears at the top of the visit when it is locked.

  • Locked visits are marked with a lock indicator in the case board and in visit lists (e.g. session avatar or patient card).

Who can lock a visit

Only doctors and admins (including Medical Directors and Relief/Locum) can lock a visit. Other roles do not see the Lock visit option.

Who can unlock a visit

Only the visit owner (the user who owns the visit) or an organization admin can unlock a locked visit. Other staff will see the locked banner but not an Unlock button, and are told to contact an admin or the visit owner.

Where to lock or unlock a visit

  • Web app: Open the visit, then use Lock or Unlock in the visit header. On smaller screens, the action may be under the "More" (⋯) menu.

  • Extension: Open the visit details and use the Lock/Unlock visit control in the visit header.

When you lock or unlock

A confirmation dialog appears before locking or unlocking. Locking prevents further edits until an admin or the visit owner unlocks the visit.

Unlocking allows edits again. Only unlock when you intend for the visit to be editable
