What it does
When a note is locked, only that specific note is read-only. Its content cannot be edited. Other notes in the same visit can still be editable if they are not locked, and the visit itself can remain unlocked.
A locked note banner or indicator appears when that note is selected.
Locked notes show a lock icon in the notes list or note selector.
You cannot edit the note text, add/remove sections, or perform other edits on that note until it is unlocked.
Who can lock a note
Only doctors and admins (including Medical Directors and Relief/Locum) can lock a note. The Lock note action is only shown to users with this permission.
Who can unlock a note
Only the visit owner or an organization admin can unlock a locked note. Other staff will see that the note is locked and may see a message to contact an admin or the visit owner.
Where to lock or unlock a note
Web app: Open the visit, go to the Notes tab, select the note you want to lock or unlock, then use the Lock Note or Unlock Note action (in the note actions toolbar or note context menu).
Extension: In the visit’s notes view, select the note and use the Lock/Unlock note control in the note actions.
Visit locked vs note locked
Visit locked: The whole visit is read-only. No notes, recordings, or visit details can be edited.
Note locked: Only that one note is read-only. The visit can stay unlocked and other notes can still be edited.
You can lock individual notes without locking the visit, and you can unlock a note while the visit remains locked (the visit would still be read-only until the visit is unlocked).
If the visit is already locked, you cannot edit any notes in that visit until the visit is unlocked, even if a note is not locked.
