Move Recording to Another Visit

Learn how to move recordings between visits when they’ve been added to the wrong patient or visit. This guide walks you through using the Move Recording button, selecting the correct visit, and keeping transcripts, notes, and analyses organized.

Sometimes recordings get attached to the wrong visit. With the Move Recording feature, you can easily transfer a recording to the correct visit without needing support assistance.


Overview

The Move Recording button allows you to reassign an audio recording from one visit to another. This action ensures that your notes, transcripts, and analyses stay organized and linked to the right patient visit.


When to Use This Feature

  • If you accidentally recorded during the wrong visit.

  • If you uploaded audio under the wrong patient or date.

  • If you want to consolidate multiple recordings into a single visit.


How to Move a Recording

  1. Open the Transcript Tab

    Navigate to the Transcript tab of a visit. If recordings exist, you will see them displayed from oldest to newest.

  2. Locate the Recording

    Each recording, in addition to an audio player, displays (from left to right):

    • A download button

    • The new Move Recording button

    • A delete button

  3. Click the Move Recording Button

    Click the button with the blue truck icon to open the Move Recording modal so you can select a visit to move your recording to.

  4. Select the Visit to Move a Recording To

    • Use the date selector or patient name search to find the correct visit.

    • Click on the visit you'd like to move the recording to.

  5. Confirm the Move

    After selecting a visit, click Confirm. The recording will be transferred and your current visit will be updated to reflect this action.

    If you are unhappy with your selection you can:

    • Click the selected visit (outlined in red) to remove the visit and select another option.

    • You can also select a different option from the list and it will replace your current selection.


Important Notes

  • Transcript Status: If the transcription is generating, the option to move the recording will be disabled.

  • Permissions: Only users with access to both visits can move recordings.

  • Data Integrity: Moving a recording also ensures that dependent records like transcripts and analyses are properly associated with the new visit.
