Onboarding to VetRec using a single shared account for all of the clinic

In VetRec we strive to optimize your workflow and tailor it to your needs.

Although pricing is per doctor (and staff is free!) it is up to you if you want to use one single shared account or multiple accounts.

This article will talk about setting up a single and shared VetRec account for your practice.

One Shared account

One shared account is common for GP practices who want to limit the use of personal cell phones in the consultation room or want to make the onboarding process faster for their team.

Pros:

  • Doctors and staff do not need to use their phone, download the app, and manage their account individually

  • A shared account is used across all the computers and devices in the clinic

  • One account to manage by practice manager/lead dvm

Cons:

  • If doctors/staff want to use their mobile phone to record in the consult room or in the "back room" then it doesn't really make sense to use the shared account on their personal mobile phone.

Setting it up

Normally, the way this workflow gets set up is by creating a shared account in VetRec (sometimes using the info@clinic email address) and logging in that account in all the devices/computers in the clinic (exam rooms as well as work stations). This is a one-time onboarding and should take ~15 min depending on the size of the clinic of course.

Wait, but with one shared account how do I know who recorded what?

With VetRec you are able to control who records what even if you have a shared account!

NOTE: To leverage this functionality, every staff/doctor on the team needs to create a VetRec account and needs to be part of the VetRec team for the clinic. Visit this article on how to create a VetRec team!

Assuming you have a VetRec team (visit the above article if not), you will be able to select who the recording is for with our "Record As" feature. Even though the logged in account will be the shared one ([email protected] for example), because this account as well as individual doctor's accounts are all part of the same team, you will be able to choose the account/doctor/staff from the Record As dropdown and select it! Like below:

After a user is selected, go ahead and conduct your recording as usual! You will see that once the recording is done, the user will be populated in the overview section of the visit:
